Introduction

Use the Time Board page to view and request time board slots available for working extra hours or for working less than scheduled hours.

Signing up for Slots Displayed on the Time Board Page

  1. Log in to NICE WebStation.

  2. Select WebStation > Schedules > Time Board on the navigation bar. The Time Board page displays the available slots.

  3. To view the number of slots taken, available, and pending supervisor approval, click on the number of slots (link) in the SLOTS column to bring up the Slots Filled chart.

  4. Click Sign Up in the row with slots you want to request.

  5. In the Request a slot dialog, select the Start and End times of your request.

  6. Click Submit. The system validates the request and sends it for processing. If the request does not require supervisor approval, the system verifies the slots are available. If the slots are no longer available, the system stores the request with a pending supervisor approval status, in case additional slots become available. If the slots are available, the system applies the change to your schedule. If the request requires supervisor approval, the system queues the change for supervisor approval.

To view the status of a schedule change request:

  1. Log in to NICE WebStation.

  2. Select WebStation > Schedules > My Schedule Changes on the navigation bar.

  3. On the My Schedule Changes page, you can view Pending, Completed, Unsuccessful and Canceled change requests.

  4. To cancel a pending change request, click Cancel for a request in the Pending table.

Overview

The Time Board page allows you to view the time board slots available to you for activity codes by date and time, minimum slot length, required agent data group and value, and required skills. You can sign up for available slots to work extra hours or work less than your scheduled hours.

When you select the WebStation > Schedules > Time Board menu item on the navigation bar, the Time Board page displays the time board slots for which you qualify, based on the slots defined for your MU. The slots displayed are for current and future dates.

Note

The Time Board menu item is only available if you use the Schedule Time Board feature, your supervisor configured your MU to allow schedule change requests in NICE WebStation, and your MU has activity codes configured to use slots.

View or Sign Up for Time Board Slots on the Time Board Page

On the Time Board page, you can view and request available time board slots for working extra hours or working less than your scheduled hours.

Note

If your MU does not have any activity codes configured to use slots, the WebStation > Schedules > Time Board menu item is not available on the navigation bar. If there are no slots available to display on the Time Board page, this message appears: No results found.

Times shown in

This view only field, above the time board table, displays the time zone of your MU. Times on the Time Board page use this time zone.

Time Board Table

The time board table displays the time board slots for which you qualify, based on the slots defined for your current MU. The slots displayed are for current and future dates. You can sign up for slots in the time board table.

The system initially sorts the data in the time board table in this order:

You can sort by any column in the time board table by clicking on the column header. Click again to sort in descending order.

Action

Click Sign Up on any row in the ACTION column to open the Request a slot dialog. This dialog allows you to submit a schedule change request to sign up for the slots. For more information on the Request a slot dialog, see Request a slot Dialog.

Entity

The ENTITY column displays the ID and name of the MU or MU Set for which the slots are available.

Date

The DATE column displays the date of the slots.

Start and End

The START and END columns display the time range the slots are available. The times are in 12–hour format (HH:MM AM/PM) or 24–hour format (HH:MM), based on your language preference. The times are in your MU’s time zone.

Slots

The SLOTS column displays the number of slots offered for the date and time range. Click on the number of slots (link) to see the slots taken, available, and pending supervisor approval in the Slots Filled chart. See Slots Filled Chart.

Activity Code

The ACTIVITY CODE column displays the icon and description of the activity code for the slots.

Min Length

The MIN LENGTH column displays the minimum amount of time you must request when signing up for the slots.

Agent Data Group

The AGENT DATA GROUP column displays the agent data group for the specific agent data values required for the slots. If the slots do not require specific agent data values, this column is blank.

Agent Data Value Required

The AGENT DATA VALUE REQUIRED column displays the agent data values required for the slots, on the date the slots are available. If the slots do not require specific agent data values, this column is blank. If this column displays multiple agent data values for slots, separated by or, agents assigned at least one of the values can sign up for the slots.

Skills Required

The SKILLS REQUIRED column displays the skills required for the slots, on the date the slots are available. If the slots do not require specific skills, this column is blank. If this column displays multiple skills for slots, the end of the skills list displays (Any) when the slots require at least one of the skills or (All) when the slots require all the skills.

Additional Information

The ADDITIONAL INFORMATION column displays any additional information for the slots.

Slots Filled Chart

Click the number of slots (link) on a row to open the Slots Filled chart for the slot definition. This chart displays the number of slots taken, available, and pending supervisor approval for each interval in the slots time range. The intervals are in 5 or 15–minute increments, depending on the schedule period length.

Click the close button () in the top corner of the window to close the Slots Filled chart.

Request a slot Dialog

When you request a slot (sign up for a slot), you are adding an activity to your schedule. You select the time period, within the slots time range, you want the activity added to your schedule. Click Sign Up on a row in the time board table to submit a schedule change request for the slots in that row.

Schedule date

This view only field displays the date of the slots. This date is the date of the schedule to add the slots.

Activity

This view only field displays the icon and description of the activity code for the slots.

Start and End Times

The Start and End fields display the time range for the slots, in your MU’s time zone. You can add the activity for the entire time range of the slots or select a time range within the slots time range. You can enter or select times in 5 or 15–minute increments, depending on the schedule period length, and in 12 or 24-hour format, depending on your language preference. The start and end times cannot be the same, and they cannot be past times for the current date.

The date range configuration also determines the start and end times you can enter (see Appendix A: Schedule Change Requests Processing Details). The activity code priority rules can affect the exact times the system applies the activity to your schedules (see Activity Code Priority Value Settings).

Submit

Click Submit to submit your schedule change request for the slots. When you click Submit, the system validates the requested slots. If all validations pass, the system processes your request based on the schedule change configuration a supervisor defined for your MU (see Appendix A: Schedule Change Requests Processing Details) and the slots definition. After successful processing, the system saves your request and displays a message with the status of the request. Click OK to clear the message. If the status of the new request is pending approval or approved, the request appears in the Pending table on the My Schedule Changes page.

If there are not enough slots remaining, the system stores the request as pending approval. In this case, a message indicates the system placed your request in a pending approval status because there were no slots available for the requested time range. The request changes to the pending approval status in case additional slots become available.

With the Schedule Work Rule Validations feature enabled, the system also validates your requested slots against the work rules a supervisor configured your MU to validate (see Work Rule Validations).

If any validations fail, the system does not save your request. You receive an error message to help you correct the change request. The error message depends on how your schedule change request conflicts with the schedule change configuration a supervisor defined for your MU (see Appendix A: Schedule Change Requests Processing Details) or the slots definition. You can correct the error and resubmit the change request (click Submit), or click Cancel to cancel the change request for the slots and close the dialog.

Cancel

Click Cancel on the Request a slot dialog to cancel signing up for the slots and close the dialog. Clicking the close button () in the top corner of the dialog also closes the dialog without signing up for the slots.

Work Rule Validations

With the Schedule Work Rule Validations feature enabled, the system validates work rules when you sign up for time board slots on the Time Board page. The system performs validations to honor the work rules based on the schedule change configuration a supervisor defined for your MU. The work rules include:

When you sign up for time board slots, and submit the request, the system validates any work rules configured for your MU to validate. If any work rule validation errors occur on your schedule because of the changes you made, the system does not save any changes. In this case, the system displays a failed work rule validation error message with the work rule that failed the validation in parentheses. You can correct the error and resubmit the request (click Submit), or click Cancel to cancel the request for slots and close the dialog.

If your schedule violated a work rule before you signed up for the time board slots, the system does not prevent you from saving changes if you did not cause the rule violation. The system only displays the failed work rule validation error if you make schedule changes that violate the work rules.

Printing the Time Board Data

To print or print preview the portion of the time board data you see on the Time Board page, select File > Print or File > Print Preview.
